Duties may include:

  • Performing functions pertaining to the daily deposit

Job Description:

Process Management:

Responsible for effectively communicating to with Account Managers (Sales) and Accounting, in person, over the phone and email regarding chargebacks

Collaborate with Accounting and Customer Service to provide full view of all chargebacks

Deduction management:

Analyze and confirm that credits and deductions related to customer contract are validated against contract terms. Determine whether the chargeback is allowed or to be disputed and update the appropriate department of the circumstances that cause the claim.

Receiving (either by paper or electronic) scanning and uploading paper statements, and uploading electronic data into excel, responding with factual data relevant to dispute type to maximize chances to win on Chargebacks by including all pertinent data about the transaction and describing our services provided in full detail.

Action and analyze deductions at required levels of granularity including the aging of requests and open chargebacks by customer/type insuring that chargebacks is below 90 days aging and report resolution output daily to manager. Responsible for insuring chargeback response deadlines are met.

Analyze chargebacks effectively and be able to identify trends and communicate areas of improvement to reduce overall and potential chargebacks.

Systems Management:

Ensures that SOPs and work instructions are up to date.

Work with IT department to optimize chargeback tools

Work with Accounting and Account Managers to maintain a database of chargeback deductions

Requirements:

Previous working experience in consumer packaged goods.

At least 3 years of experience in a role requiring accounting, heavy auditing, or research.

Be open to background and drug screen test

Responsible of determine the optimal distribution and pricing for Menu Presentations and Cycle Change of customer directed or specialty materials.

Coordinate procurement driven proprietary program roll outs with distributor to ensure successful program implementation

Generate and communicate volume forecast information to Distributors & Key Vendors and CSCs as required to support the launch and completion of menu cycles

Manage optimal inventory levels for respective airline accounts, working to reduce dead inventory by reallocating product use to other airlines for charter use and other distribution methods

Proactively engages with sales team on continuous improvements for customer support

Serve as Procurement liaison to Product Engineering, Sales and Services and Direct Category Managers to ensure that airline account procurement issues are addressed in a timely manner

Manage airline account compliance with procurement programs and utilize the Impact Report to implement corrective actions during the menu cycle

Collaborate with Procurement and Product Engineering teams on current processes and continuous improvements.

Perform adhoc reporting and recurring analysis for all airline accounts as required

Leadership

Model corporate values and participate as required in groups

Proactively support other departments and functions as Procurement Specialist

Ability to coordinate problem resolution with minimum supervision input

Required Skills

Job Duties:

Perform a variety of administrative functions and support to coordinate the day-to-day correspondence and activities for the CFO.

  • Provides support and assistance to absent CFO (as required) by attending meetings, making routine budget decisions, internal department coordination and assuming responsibility for the timely completion of various projects. Responds to requests from outside vendors and customers. Maintains coordination between CFO and Executives to ensure that needs and actions are completed in a timely manner.

  • Coordinates various communication tools and activities with other departments within AHI.

  • Handles incoming telephone calls. Routinely researches, responds and/or prepares information for calls received.

  • Compiles data, composes correspondence, prepares reports and distributes as necessary.

  • Prepares monthly budget report by gathering data from various sources and distributes document to CFO and department personnel.

  • Gathers data and compiles information as required and requested.

  • Prepares and tracks expense reports. Assists in the proper distribution of budget by coding invoices for payment. Prepares check requests as necessary.

  • Tracks budget by input of all expenses. Prepares monthly report for CFO.

  • Maintains schedule for CFO

  • Plans and coordinates material and travel for on and off-site meetings and conferences as needed for CFO, department staff, customers and vendors as required. Schedules meetings, tours, etc., with other AHI departments as required.

  • Assists in the maintenance of department filing systems. Orders and maintains office supply inventory. Opens and distributes daily department mail.

  • This position description is not intended to be all-inclusive and employee will also perform other tasks as assigned.

Requirements:

6+ years of experience

Types minimum of 55 wpm

Advanced Word, Excel and Outlook skills

Education

  • High school diploma or GED; some college preferred

Experience

  • Minimum of five (5) years experience in administrative support to high-level management positions

  • Financial and analysis experience

  • Expert experience in Excel and PowerPoint (WILL BE TESTED IN THE OFFICE)

Hours: Typical 40 hours a week, Monday to Friday, However, some overnight and weekend work is often necessary as maintenance and development work needs to be undertaken during periods of low usage. DBAs are often on call if a critical problem occurs.

Requirements:

  • At least 5 years of advanced experience in as a Database Administrator building extensive databases from scratch

  • Windows Administration experience and Microsoft Certifications is a huge plus!

  • Excellent communication skills and the ability to work independently and with the team

    • MySQL/MySQL Server 5.6

Job Description:

  • Maintain solid knowledge of the Inspirus platform(s)

Job Description:

  • Oversee the maintenance, repair, and operations of the facility and property

  • Supervise the staff and functions of the mailroom

  • Purchase supplies for the facility using established procedures

  • Maintain the accurate archival of company documents

Additional Tasks:

  • Facility maintenance: Manage repairs and services needed to the keep building in operating optimally. Examples of these building systems include electrical, air conditioning/heating, plumbing, fire protection, security, recycling and waste management.

  • Property & landscaping: Manage services to maintain the grounds and regularly the inspect property for issues requiring attention. This includes landscaped areas, water features, rainwater reclamation and irrigation systems, pest control, exterior lighting, and security.

  • Respond to service issues pertaining to the fire alarm system, building security, or other after-hours emergencies as needed.

  • Supervise the staff and functions of the mailroom including the timely handling of domestic & foreign shipments, company mail, and archived documents. Assist with mailroom tasks as needed.

  • Supports the safety of personnel and the work environment, participates in the safety committee, documents accidents/incidents, and assists with satisfying other regulatory compliance requirements.

  • Using established procedures, purchases services and materials for company use such as office products, janitorial and breakroom supplies, company forms/stationery, and mailroom supplies.

Requirements:

  • 2-year degree with concentration in the area of facilities, occupational safety or related areas or an equivalent combination of education and/or experience

  • 2 years of facilities tasks and/or safety in warehousing or service shop settings

  • Knowledge of OSHA and other health/safety regulatory agencies. OSHA 30-hr certification preferred.

  • Basic maintenance skills

  • Skilled in the use of computers including the Windows operating system and typical programs such as Word, Excel, and Internet-based applications

  • Solid communication skills (verbal and written), ability to interact with management and a wide spectrum of individuals

  • Must have a positive attitude, welcome collaboration, and deliver exceptional customer service

  • Must have ability to explain and present recommendations based on well-researched information
