Location: Dallas, TX
Pay: $20.00 per hour
Hours: Monday Friday, 8:00 AM 5:00 PM
The Office of Arts and Culture is seeking a temporary full-time Administrative Specialist to support our Cultural Venues division. Part-time availability will be considered based on the candidate s qualifications and schedule. This role offers a hybrid work arrangement, allowing for remote work most days with up to two days (or two half-days) required on-site at a specified location. On-site locations may vary weekly but will remain consistent during work hours. A fully on-site schedule is available if preferred.
Essential Functions:

Provide administrative support to the Cultural Venues division

Manage communications, including responding to emails, taking messages, and routing inquiries to appropriate team members

Prepare reports, invoices, templates, and workbooks to track equipment, personnel, and project status

Organize and maintain digital shared drives and documents

Schedule meetings, events, and manage calendars

Prepare and reconcile invoices and interpret event reports for billing purposes

Compile research and create draft reports, templates, and documents

Deliver excellent customer service by handling reception duties and routing inquiries

Assist with procurement processes for goods and services

Perform other administrative tasks as assigned by the Senior Manager of Cultural Venues
Knowledge, Skills, and Abilities:

Proficiency in Microsoft Office 365 (Excel, Word, Teams) and Adobe PDF

Strong verbal and written communication skills

Ability to research, interpret event reports, and reconcile invoices

Self-starter with the ability to work independently and meet deadlines

Strong organizational skills and attention to detail

Basic IT skills, including knowledge of hardware connections (preferred)

Knowledge of public administration and governmental environments (preferred)

Associate degree in business, public administration, arts, or a related field
