Job Title: Executive Secretary
Location: Dallas, TX
Schedule: Monday-Friday, 8am-5pm
Pay: $20.00/hour
Responsibilities:
The Executive Secretary provides administrative, clerical, and secretarial support to an assigned department

Answers telephone and determines nature of calls; forwards appropriate calls, takes messages and conveys information, and handles citizen complaints to facilitate effective and timely operations.

Reviews, reads, prioritizes, and distributes incoming mail including personally composing answers to some inquiries to facilitate timely response.

Applies considerable independent decision-making and judgment to identify sources of information, handling of telephone calls, discretion as to giving out information, interpretation of procedures and methods to follow to complete projects.

Maintains a calendar of events for leadership by scheduling meetings, confirming meetings, preparing material for meetings, and reminding leadership of commitments under direction of supervising employee.

Performs a wide variety of office functions such as filing and taking notes for minutes.

Operates a wide variety of office machines such as printers and copiers to ensure effective office functioning.

Coordinates, facilitates, and supports general operational meetings; supports senior level staff and supervisors.

Performs any and all other work as needed or assigned.
Job Requirements:

Associates degree or higher required
-
Knowledge of executive assistance, clerking, and customer service.

Knowledge of providing executive level support and secretarial work.

Knowledge of correct grammar, spelling, and punctuation.

Knowledge of City Structure and standard procedures.
-
Ability to provide secretarial, clerical, and administrative support.

Ability to gather and compile accurate and efficient information in a group or court setting.

Ability to prepare correspondence, documents, and reports.

Communicating effectively verbally and in writing.

Establishing and maintaining effective working relationships.
