Job Title: Executive Secretary


Location: Dallas, TX


Schedule: Monday-Friday, 8am-5pm


Pay: $20.00/hour


Responsibilities:

The Executive Secretary provides administrative, clerical, and secretarial support to an assigned department

  • Answers telephone and determines nature of calls; forwards appropriate calls, takes messages and conveys information, and handles citizen complaints to facilitate effective and timely operations.

  • Reviews, reads, prioritizes, and distributes incoming mail including personally composing answers to some inquiries to facilitate timely response.

  • Applies considerable independent decision-making and judgment to identify sources of information, handling of telephone calls, discretion as to giving out information, interpretation of procedures and methods to follow to complete projects.

  • Maintains a calendar of events for leadership by scheduling meetings, confirming meetings, preparing material for meetings, and reminding leadership of commitments under direction of supervising employee.

  • Performs a wide variety of office functions such as filing and taking notes for minutes.

  • Operates a wide variety of office machines such as printers and copiers to ensure effective office functioning.

  • Coordinates, facilitates, and supports general operational meetings; supports senior level staff and supervisors.

  • Performs any and all other work as needed or assigned.


Job Requirements:

  • Associates degree or higher required

  • Knowledge of executive assistance, clerking, and customer service.

  • Knowledge of providing executive level support and secretarial work.

  • Knowledge of correct grammar, spelling, and punctuation.

  • Knowledge of City Structure and standard procedures.

  • Ability to provide secretarial, clerical, and administrative support.

  • Ability to gather and compile accurate and efficient information in a group or court setting.

  • Ability to prepare correspondence, documents, and reports.

  • Communicating effectively verbally and in writing.

  • Establishing and maintaining effective working relationships.
